Privacy Policy

1- INTRODUCTION

P.D.G. Industries inc. 9089-8131 Québec (P.D.G. Mécanique-soudure) and 9109-2312 Québec inc. (collectively referred to, as « PDG ») is a group of companies operating in the mechanical, plumbing, welding, electrical, personnel leasing and fabrication fields. In the conduct of our businesses, we collect and store personal information from our clients and third parties.

We recognize the fundamental importance of protecting the personal information we collect. That is why we have adopted this Privacy Policy (hereinafter “Policy”, which is established in accordance with the Private Sector Privacy Act.

By engaging in business with PDG, you consent to the collection and use of your personal information in accordance with this Policy.

2- POLICY PURPOSE

The purpose of this Policy is to provide information on the internal process for the collection, retention, use and destruction of personal information, to outline standards for the handling of personal information, explain the roles and responsibilities of our team members and inform them of your rights in relation to your personal information.

3- THE TYPES OF PERSONAL INFORMATION COLLECTED

Various personal information may be collected when you do business with us or when you contact us, including :

  • personal information, such as your last name, first name, date of birth, or social insurance number;
  • information about your address, such as your residential or business address;
  • contact information, such as your email address or phone number;
  • professional information, such as the name of your employer or your position in the organization you work for;
  • financial information, such as a billing address, your bank details, a sample cheque or other payment information;
  • recruitment information, such as your work experience, education or any other information that is part of your resumé;
  • information about cookie files, such as your IP address, language of correspondence and geolocation information.

When we collect information, we ensure that it is relevant and essential for its intended purpose. For more information on the purposes for which information is collected, please refer to Section V of this Policy.

4- HOW WE COLLECT YOUR PERSONAL INFORMATION

We collect your personal information directly from you during our business interactions, when you visit our website, when you request a quote or when you contact us by email, by phone or via the dedicated section on our website.

We may also collect personal information from third parties, where we obtain consent to do so or where permitted or required by law.

Finally, we may collect personal information that is publicly available on various websites and social networks.

5- THE PURPOSES FOR WHICH PERSONAL INFORMATION IS COLLECTED

Personal information collected by PDG is used exclusively for the following purposes:

  • to carry out our mandates and contracts;
  • to ensure the invoicing of our files and the collection of our debts;
  • for marketing, business development and to communicate with you;
  • to personalize or improve your experience on our website;
  • for recruitment purposes and to process applications received;
  • to meet our legal and regulatory obligations;
  • for any other agreed purpose.

6- INDIVIDUALS WITH ACCESS TO PERSONAL INFORMATION COLLECTED

Within our organization, our staff members have access to your personal information when required for the performance of their duties. No consultation, use or communication is tolerated other than for the fulfillment of the purposes for which this data was collected.

In addition to authorized PDG employees, we may share personal information held only with the following third parties in the following circumstances:

  • With our IT service provider, hosting and data storage (backup): so that it makes backup copies of our records;
  • With third parties when required by law.

7- RETENTION AND DESTRUCTION OF PERSONAL INFORMATION

PDG ensures that your personal information is kept only for as long as is necessary for the purposes for which it was collected. Unless there are exceptions, in particular in cases of legal or regulatory obligation, we permanently and securely delete the personal information we hold once the purposes for which the personal information was collected are fulfilled or when the information is no longer required for such purposes.

8- SECURITY OF PERSONAL INFORMATION

PDG implements various physical, technological and procedural measures to ensure the protection of your personal information against unauthorized access, use or disclosure.

Personal information is stored on our computer servers and at our IT service provider, hosting and data storage (backup). All servers that contain the personal information collected are located exclusively in Canada, either in the province of Quebec or Ontario. Information on servers in Ontario is subject to the laws of that province. Both PDG and its IT service provider, hosting and data retention are subject to applicable Quebec privacy laws.

Personal information held by PDG may also be in paper files. These hard copies are stored securely in our physical offices, in a secure area, locked and not accessible to the public.

Only authorized members of our staff who must process your personal information for the purposes for which it was collected may access it. All members of our staff are subject to a confidentiality obligation in relation to the personal information they view or use in the course of their work.

All service providers, partners and other third parties that may receive the disclosure of personal information are also contractually bound to confidentiality and privacy obligations.

9- SECURITY INCIDENTS

A privacy incident is defined as prohibited access, use, disclosure or loss of personal information. Despite all the protection measures put in place by PDG, we are not immune to a security incident that may occur, for example by an intrusion into our servers.

Should such an incident occur, we are commited to take the necessary measures to minimize any harm that may be caused and to prevent such an event from recurring.

10- YOUR RIGHTS AND OBLIGATIONS REGARDING YOUR PERSONAL INFORMATION

At any time, you have the right to request access to and correction of your personal information, except where the Act allows or requires us to refuse access.

Any request for access or correction of personal information must be made in writing to PDG’s Privacy Officer, Vanessa Lehouiller at [email protected]. We will follow up on any request for access or correction of information within 30 days of receipt of the request.
